Art consignment software for galleries and the artists they represent
Gallerists records the terms of every consignment, issues invoices with tax and shipping lines when a work sells, and keeps each artist's statement current without a spreadsheet. The sale, the invoice and the artist's share all come from the same artwork record.
Most primary market galleries work on consignment. The work belongs to the artist until it sells, the gallery takes an agreed commission, and the artist expects a clear statement and a timely payment. In practice, the terms sit in a signed agreement in a drawer, the sales sit in an invoicing app, and the statement is rebuilt in a spreadsheet every quarter.
Errors in that process cost more than time. An artist who receives a confusing statement starts to doubt the relationship.
Consignment terms that are hard to find when a work sells
Invoices typed separately from the inventory
Artist statements rebuilt by hand every period
Discounts that change the artist's share without anyone noticing
How consignment and invoicing work in Gallerists
Record the consignment
When works arrive, create a consignment record for the artist: the works, the date received, the agreed commission split, the retail prices and any notes from the agreement. Each work in inventory carries the status consigned and a link to its terms.
Place a hold and then sell
A collector reserves a work: place a hold with an expiry date and a reminder. When the collector confirms, convert the hold to a sale at the agreed price.
Issue the invoice
Gallerists builds the invoice from the record: tombstone line, price, discount if any, tax line and shipping line, with your gallery branding. The invoice is saved on the collector's CRM record.
Update the artist statement
The sale appears on the artist's statement with the sale price, the discount, the gallery commission and the amount due to the artist, according to the consignment terms. Statements can be exported for any period.
See the sales picture
Sales reports by artist and by period show what sold, at what price and what is owed, so the director and the artist see the same numbers.

Can we record different commission splits for different artists?
Yes. Each consignment record has its own split, and you can set terms per artist or per group of works. Statements use the terms attached to each work.
Does the invoice include sales tax?
Yes. Invoices have a tax line and a shipping line. You set the tax rate that applies to the sale, and the invoice shows the subtotal, tax, shipping and total.
Does Gallerists process payments from collectors?
Invoices tell collectors how to pay your gallery, for example by bank transfer. Gallerists records the payment status on the invoice; the money goes directly to your gallery.
Can artists see their statements?
On the Program plan and above, consigned artists get access to an artist portal with their works, statements and sales. On the Gallery plan you export statements and send them yourself.
Settle with your artists from one record
Start with one consigned work. Gallerists builds the record, and the sale and statement follow from it.
