Best art gallery software and art inventory software for small galleries
The best art gallery software for a small US gallery depends on two numbers: how many people need to log in and how many works you hold. For a team of three to five, Gallerists is the lowest yearly cost at $888 for five seats billed yearly. ArtCloud and Arternal fit galleries that want payments inside the tool, Artlogic fits galleries that want a designed website and marketing from one vendor, and Artwork Archive fits artists and small collections.

How we picked and compared these five tools
We make Gallerists, so read this page knowing that. To keep it useful anyway, every price below comes from the vendor's own pricing page as of October 2026, except Artwork Archive, whose pricing page did not load for us, so those figures come from software directory listings and are marked as such. Where a competitor does something better than we do, the table says so.
We looked only at tools a commercial gallery would actually run its back office on: inventory, offers to collectors, contacts and sales, consignment and invoicing. We left out museum collection systems and pure website builders, because a gallery with two to ten staff rarely buys either for its daily sales work.
The five tools are the ones that show up again and again when US galleries shortlist software: Gallerists, Artlogic, ArtCloud, Arternal and Artwork Archive. Others exist, such as Masterpiece Manager, Artshell and Argus, and they are worth a look if you run a large program or a museum style collection.
Art gallery software compared on price, limits and features
List prices in October 2026. Artlogic quotes in British pounds. Check each vendor before you sign, because pricing pages change.

Gallerists is the only one of the five that builds the artwork record from a photo, and the only one where adding a fourth or fifth person does not change the bill. It is not a payment processor and it does not design websites, so galleries that need either inside the same tool should look at ArtCloud, Arternal or Artlogic.
What each tool costs a three person gallery in a year
Most small galleries have a director, a registrar and one person in sales. Here is the yearly arithmetic for three full users at list price, with no discounts and no website plan.
| Setup | Monthly | Per year |
|---|---|---|
| Gallerists Gallery, 5 seats, billed yearly | $74 | $888 |
| Gallerists Gallery, 5 seats, billed monthly | $149 | $1,788 |
| ArtCloud Gallery Manager Essential, 3 users | $297 | $3,564 |
| ArtCloud Gallery Manager Professional, 3 users | $396 | $4,752 |
| Arternal Essential, 3 users | $285 | $3,420 |
| Arternal Principal, 3 users | $585 | $7,020 |
| Artlogic Gallery Full Platform Essential | from £156 | from £1,872 |
Artlogic's figure is for the platform rather than per person, so ask them how many logins it covers. ArtCloud and Arternal both sell to galleries that negotiate, so treat these as the starting point for a quote. The detailed breakdowns are on ArtCloud pricing per user, Arternal pricing per user and Artlogic pricing for small galleries.
Which art gallery software fits which gallery
Gallerists for small teams that send offers every week
One photo becomes a full record, offer PDFs and private viewing rooms are on every plan, and five seats cost $74 a month billed yearly. It suits a gallery of two to twenty people whose bottleneck is getting works into the system and in front of collectors. It does not take card payments and it is not a newsletter tool.
Artlogic for galleries that want one vendor for everything
Artlogic bundles the database, a designed website and marketing. Its Gallery Full Platform starts at £156 a month and Professional at £311, with website plans from £42 and ecommerce fees of 1 to 3 percent depending on the plan. Strong choice when the website matters as much as the back office. More detail on the Artlogic alternative page.
ArtCloud for galleries that want payments and a site in one place
ArtCloud's Gallery Manager runs from a $0 Starter with 50 works to $193 per user a month, with payment processing on paid tiers and website plans from $77. It is a good fit for a solo dealer, and gets expensive as the team grows. See the ArtCloud alternative comparison.
Arternal for CRM led sales teams
Arternal is built around the collector relationship: pipeline, Smart Mail, viewing rooms and ARTERNAL Pay with Affirm financing. Plans are $95, $195 and $325 per user a month on a 12 month term. The Essential tier caps inventory at 500 works and 50 artists, so most programs land on Principal.
Artwork Archive for artists and small collections
Artwork Archive is popular with artists, collectors and small organizations that need clean records and reports more than a sales pipeline. Directory listings show organization plans from about $24 to $29 a month, with Plus at $59 and Enterprise at $139, and a 14 day trial. A commercial gallery with consignment and invoicing usually outgrows it.
How to choose art gallery software in four steps
-
1. Count the people who need to log in
Write down every person who will open the inventory in a normal week, including the registrar and part timers. Multiply any per user price by that number before comparing.
-
2. Count your works, including the back room
Add consigned, owned and secondary market works. Tier caps of 200, 500 or 1,500 works are where most small galleries get pushed into the next price.
-
3. Decide whether payments and the website belong in the same tool
If you already have a website and take payments elsewhere, you are paying for features you will not use. If you have neither, a bundle can make sense.
-
4. Test it on a real work
Put one work you are offering this week into each trial and send yourself the offer. The tool that gets you from photo to sent offer fastest is the one your team will keep using.
Gallerists plans in US dollars

What is the best art gallery software?
The best art gallery software depends on team size and what you need in one tool. For small teams that want low cost per seat and records built from photos, Gallerists is the strongest value. Artlogic suits galleries wanting a designed website, ArtCloud and Arternal suit galleries that want payments built in.
What software do art galleries use?
Commercial galleries mostly use gallery management software such as Artlogic, ArtCloud, Arternal, Gallerists or Artwork Archive for inventory, offers and contacts, alongside accounting software for the books. Larger programs sometimes add Masterpiece Manager or a museum style collection system for registrar work.
What is the best art inventory software for a small gallery?
For a small gallery, the best art inventory software is one whose price does not climb with every login and whose tier cap fits your back room. Gallerists holds 2,500 works with five seats for $74 a month billed yearly, and builds each record from one photo of the work.
How much does art gallery software cost?
Art gallery software costs from about $24 a month for a single user up to several hundred dollars a month per user. Per user tools such as ArtCloud ($99 to $193) and Arternal ($95 to $325) multiply by headcount. Gallerists starts at $24 a month billed yearly and includes seats by plan.
Is there art gallery software without per user pricing?
Yes. Gallerists is priced per gallery with 1, 5, 20 or 100 seats included by plan, so a five person team pays the same as a two person team on the Gallery plan. Artlogic also sells a platform bundle, quoted in British pounds.
Can I switch gallery software without retyping my inventory?
Yes. Export works and contacts as CSV from your current tool, upload them to Gallerists and map each column before anything is saved. Works with thin records can be rebuilt from one photo each, so the registrar approves rather than retypes.
