Art gallery software cost for a small gallery, worked out per year
Art gallery software cost for a small gallery with three to five staff runs from about $900 to more than $7,000 a year, and the gap comes almost entirely from how each vendor charges for seats. Per user tools such as ArtCloud and Arternal multiply a monthly rate by every person on the team. Per gallery plans include a set number of seats. The table below turns each published price into a yearly total for three users, so you can compare like with like before booking demos.

What the main gallery tools cost per year
Prices below come from vendor pricing pages checked in October and November 2026, except Artwork Archive, whose figures come from directory listings because its page did not load for our checks. Artlogic and Art Galleria list in pounds and euros, so those totals are left in the vendor currency.
| Tool | Published price | Three users for a year |
|---|---|---|
| ArtCloud Professional | $132 per user per month | $4,752 |
| Arternal Principal | $195 per user per month, 12 month term | $7,020 |
| Arternal Essential | $95 per user per month, 500 works | $3,420 |
| Artlogic Gallery Essential | from 156 pounds a month | 1,872 pounds |
| Artlogic Gallery Professional | from 311 pounds a month | 3,732 pounds |
| Art Galleria PRO | 120 euros a month, 3 users, annual billing | 1,440 euros |
| Artwork Archive organization | about $24 to $29 a month in listings | about $290 to $350 |
| Gallerists Gallery | $74 a month billed yearly, 5 seats | $888 |
Read the last row with care. Gallerists includes five seats, so the three user total is the same $888. The other tools would cost more for five users, not less. Details sit on the vendor pages: Artlogic pricing, ArtCloud pricing, Arternal pricing and Artwork Archive pricing.
Why seat count decides the bill
A gallery with three people on the software is rare. Counting the director, a registrar, one or two sales associates and a part time assistant, most small programs land at four or five. Per user pricing means each of those people adds the full monthly rate.
Take ArtCloud Professional at $132. Three users cost $4,752 a year, five users cost $7,920. Arternal Principal at $195 with five users is $11,700 a year. On a per gallery plan the same five people cost the same $888 as three. That is why we work out the five seat figure before anything else when we compare.
Cheaper tiers hide a different limit. Artwork Archive entry plans reportedly include three users and 500 works, and sold and archived pieces can count toward the work limit. A gallery that has been open for five years can pass 500 records without noticing.
Costs that are not on the price table
Software bills grow after the first quote. These are the items worth asking about before you sign.
- Website plans. ArtCloud lists websites from $77 to $303 a month on top of the manager. Artlogic website plans start around 42 pounds a month and carry ecommerce fees of 1 to 3 percent.
- Email. ArtCloud lists an email add on from $30 a month for 10,000 sends.
- Payments. Arternal Pay lists card payments at 3.4 percent plus 30 cents, which is about $510 on a $15,000 sale. Gallerists does not process cards, so that cost sits with your own processor.
- Contract term. Arternal states a 12 month term. A one year commitment turns a bad fit into a 12 month bill.
- Migration help. Some vendors include it only on higher tiers.
Add these to the table total before you decide. A $4,752 tool with a website, email and card fees is closer to $7,000.
The cost nobody puts in a table
Staff time is the biggest line. A registrar who types each record spends perhaps ten minutes on tombstone, dimensions, medium and a description, so 400 works is more than 65 hours. At $30 an hour that is about $2,000 of labor before the system is useful. Gallerists starts a record from one photo and drafts the tombstone line, the colors and a catalog description, which the registrar edits instead of writing from scratch. Test that on a few of your own works and time it.
Offers matter the same way. If sending an offer PDF takes twenty minutes in one tool and two in another, a gallery sending ten a week saves three hours.
Year end brings another bill. Your bookkeeper will want clean sales, consignment payouts and costs, and many galleries then reach for an AI financial statement generator to turn exported ledgers into a P&L they can read. That works best when invoices and consignment splits are already tidy in the gallery system.
Which tool fits which gallery
Choose per user tools when your team is one or two people and you need the depth they offer. Choose Art Galleria when you need artist portals and unlimited works and euro billing is fine. Choose Artwork Archive when you are an artist or collector with a modest list. For a gallery of three to five people that consigns, offers and invoices, a per gallery plan keeps the bill flat as you hire. FAQ
How much does art gallery software cost?
Art gallery software for a small team costs roughly $900 to $7,000 a year in the sources checked. Per user tools run $95 to $325 a user a month before multiplying by staff, while per gallery plans like Gallerists Gallery are $888 a year for five seats. Artlogic lists from 156 pounds a month and Art Galleria from 60 euros a month on annual billing.
Why is art gallery software priced per user?
Most vendors started by selling to larger galleries, where each registrar and sales director is a seat. Per user pricing scales revenue with staff, so a team of three pays three times the base price. Per gallery pricing includes a set number of seats instead, which favors small teams that share one system.
Is there a cheap art gallery software that handles consignment and invoices?
Yes. Gallerists Studio is $24 a month billed yearly for one seat and 250 works, and Gallery is $74 for five seats and 2,500 works, both with consignment and invoicing. Artwork Archive and Art Galleria also list low entry tiers, so check limits for sold works and users before buying.
What hidden costs come with art gallery software?
Common extras are website plans, email sends, payment processing fees, migration help and annual contract terms. Arternal lists a 12 month term and card fees of 3.4 percent plus 30 cents, ArtCloud charges separately for websites and email, and Artlogic website plans carry ecommerce fees. Ask for these in writing.
How long does it take to move a gallery inventory into new software?
With a CSV export it takes a day or two to map columns and check records. Records with only a title can be rebuilt from one photo each in Gallerists, which drafts the tombstone line, palette and catalog description for the registrar to approve.
