An online viewing room in Gallerists is a private page for one collector or a short list of collectors, built from works already in your inventory. Add installation shots and a few lines of text, send the link, and see who opened it and which works held their attention.
Why viewing rooms often feel like extra work
Many galleries treat a viewing room as a separate project. Someone exports images, rewrites captions, pastes prices into a page builder and sends a link that nobody can measure. By the time the room is live, a work in it may already be on hold for someone else.
Collectors notice the difference. A room with outdated prices, missing dimensions or a sold work damages trust faster than a plain email with a PDF attached.

How a viewing room works in Gallerists
Shape the room
Add installation views, detail images and a short introduction. Choose whether prices are shown or replaced with "Price on request". Set an optional end date so the room closes on its own.
Share a private link
Each room has a private link. Send it to one collector, or create separate links for several collectors to see who opened what.
Watch the response
Gallerists records when a link is opened and which works were viewed, and adds that activity to the collector's record in the CRM. A collector who spends time on one work is the one to call first.
Stay in sync
When a work goes on hold or sells, its status in every live room updates from inventory. No room keeps offering a work that is gone.

When galleries open a viewing room
After an opening, for collectors who could not make it to the gallery. Before an art fair, so collectors see the booth list early, which the art fair booth management page covers in detail. For a single serious buyer, with a short selection and a personal note. For a secondary market desk, where discretion matters and the room is seen by one person only.
Can a viewing room be completely private?
Yes. Rooms are reached only through their private link and are not listed in the public Gallerists guide. You can close a room at any time or set an end date.
Can we see which collector opened the room?
Yes, when you send a separate link to each collector. Gallerists records the visit and the works viewed and adds them to that collector's record.
Do prices update when a work sells?
Yes. A room reads status from inventory, so a sold or held work changes in every live room without any editing.
Is there a limit on the number of works in a room?
A room can hold any number of works from your inventory. The plan limit counts how many rooms are live at the same time.
