Art gallery software FAQ for gallerists
Short, direct answers to what gallery owners, sales directors and registrars ask before they move their inventory into Gallerists. If your question is not here, write to [email protected].
About the product
What does Gallerists do for a gallery?
Gallerists keeps your artwork inventory, artist records, offer PDFs, online viewing rooms, collector CRM, consignments and invoices in one account. A work you enter once powers its record, the offer you send, the viewing room a collector opens and, on the Gallery plan and above, the exhibition page that appears in the public guide. See gallery management software for the full flow.
Is the AI catalog description editable?
Yes, always. The AI catalog description is a first draft written from the photo and the details you enter. You read it, change any word and save your own version. Nothing is published to a collector or to the guide until you choose to use it. Each plan includes a monthly number of descriptions, from 50 on Studio to 3,000 on Enterprise.
Can I try Gallerists before paying?
There is no free plan. The homepage has a demo that makes one record per visitor per day. Upload a photo of one work and Gallerists builds a watermarked artwork record and offer page preview, without a card or an account.
Does Gallerists work for art advisors and private dealers?
Yes. The Studio plan fits a solo advisor or dealer who manages consigned works, sends offers and invoices clients. Advisors who also look after collections for clients can read about art collection management software.
Migration and your data
How do we move from spreadsheets or another gallery database?
Export your current inventory, artists and contacts as CSV files and import them into Gallerists. The import matches your columns to Gallerists fields (title, artist, year, medium, dimensions, edition, price, status, location) and shows a preview before anything is saved. CSV import and export are included on every plan.
Who owns the data?
Your gallery does. Inventory, images, artist records and collector contacts belong to you, and you can export everything as CSV at any time, including after you decide to leave. We process the data only to run the service for you.
Is our data secure?
Access to every account is by password with confirmation by email, staff work with roles (sales, registrar, viewer) on Gallery and above, and Program adds audit history on every record. Enterprise adds single sign on (SAML), audit log export, granular permissions per location and artist, and data residency in a US region. Read more about art gallery software security.
Can our artists see their own consignments?
On the Program and Enterprise plans, yes. The artist portal lets each consigned artist sign in and see only their own works, statements and sales. They never see other artists, your collectors or your prices for other work.
Collectors and the public guide
What do collectors see?
Collectors see only what you publish. Offer PDFs and viewing rooms open from a private link you send, and Gallerists records when they were viewed. In the public guide collectors see your gallery profile with the current exhibition, and on Gallery and above your exhibition pages and art fair booth lists. Your inventory, prices and notes stay private unless you put them in an offer.
Do collectors need an account?
No. Collectors read the public guide to galleries, exhibitions and art fairs and contact galleries directly from their profiles. Accounts are for galleries, advisors and their teams.
How does our gallery appear in the guide?
Every plan includes a public profile with your current exhibition. Gallery and above publish exhibition pages and art fair booth lists to city and fair pages, and Program adds priority placement. Start on the page list your art gallery.
Plans and billing
Is pricing per user or per gallery?
Per gallery, with seats included in each plan: 1 on Studio, 5 on Gallery, 20 on Program and 100 on Enterprise. Studio starts at $49 per month, or $24 per month billed yearly. Full details are on art gallery software pricing.
What happens when we reach a plan limit?
Your records stay exactly where they are. Gallerists tells you which limit you reached and which plan covers it, and you can upgrade in the account. Monthly allowances such as offer PDFs and AI descriptions return at the start of the next billing period. Usage counts as consumption, so deleting an item does not give the allowance back.
How do cancellation and refunds work?
You can cancel any time from your account. Cancelling stops future renewals and you keep access until the end of the period you paid for. Payments are final, and we refund only a duplicate charge, a proven unauthorized charge or a total failure of the service, as described in the refund policy.
Do subscriptions renew automatically?
Yes. Monthly plans renew every month and yearly plans every year until you cancel. The renewal date is shown in your account.
Can we pay by bank transfer?
Enterprise accounts can switch to invoice billing by bank transfer after the first card payment. Other plans are paid by card.
