Art fair booth management from booth list to follow up
An art fair compresses months of sales into a few days. Gallerists keeps the booth list, the holds, the viewing room for collectors who cannot travel and the follow ups in one place, built from your inventory, so the team on the booth and the team at the gallery see the same status.
Before the fair, the gallery prepares a booth list, a price list, a checklist for shipping and a PDF for collectors who ask in advance. During the fair, works go on hold on the booth while a colleague at the gallery offers the same work by email. After the fair, business cards and notes sit in a folder until someone has time to type them up.
Every version of the list is a chance for a mistake, and a fair is the worst place for one.

How a fair works in Gallerists
Before the fair
Create the fair in Gallerists and add the works for the booth from inventory. Gallerists builds the booth list and a branded checklist with tombstone lines, dimensions in inches and centimeters and prices. Mark the location of each work as the fair, so the registrar knows what traveled.
Preview for collectors
Open an online viewing room with the booth selection and send private links to collectors before the fair opens. View tracking shows who looked at which works, so the booth team knows whom to expect.
On the booth
Holds placed on a phone at the booth carry the collector, the expiry and the colleague who made them. The gallery team sees the hold at once and stops offering the work.
Publish to the guide
On the Gallery plan and above, your booth list appears on the matching fair page of the public Gallerists guide, where collectors planning their visit can find it. On the Program plan and above, your exhibitions and booths get priority placement on city guide and fair pages.
After the fair
Every contact met on the booth becomes a collector record with notes and a follow up task. Sales convert to invoices, and the works that return update their location.
Yes. Inventory, holds and collector records work in a phone browser, so the team on the booth can check status and place holds without a laptop.
How does a booth list appear in the public guide?
On the Gallery plan and above, you choose which fair a booth list belongs to and publish it. It then appears on that fair's page in the Gallerists guide with your gallery name and a link to your profile.
Can we show prices on the public booth list?
You decide. Prices can be shown, replaced with "Price on request" or left off the public list while staying on private offers.
What happens to works that do not sell?
Their location changes back to the gallery or storage when they return, and they stay available in inventory for the next offer.
