1. Payments are final
A Gallerists plan is a monthly or yearly subscription that gives your gallery access to the software for a period, with the features and limits shown on the art gallery software pricing page. You pay for access to that period, and access is granted in full when the period starts, whether or not your team uses it. We do not sell credits or charge per use.
Before paying, anyone can try the homepage demo, which creates one record per visitor per day. Upload a photo of a work and see the artwork record, offer page and PDF preview Gallerists builds from it. There is no free plan, and the demo is the way to judge the product before a subscription.
By subscribing you ask us to start providing the service right away, and you accept that any statutory withdrawal or cooling off period that might otherwise apply ends once the service has started.
2. What we do not refund
None of the following is a reason for a full or partial refund.
- A change of mind, a change of plans at the gallery, or no longer needing the software
- Not using the account during a paid period
- A renewal charged after one or more failed payment attempts, as described in section 5
- Thinking a plan was a one off payment. Every plan is a recurring subscription, which the pricing page, the checkout, the confirmation email and the account all state
- Forgetting to cancel before the renewal date, or cancelling right after a renewal
- Disagreement with the wording of AI catalog descriptions, which are drafts for you to review and edit
- A feature that is not described on the pricing page, or that works differently from what you expected
- Choosing the wrong plan, billing period or number of seats
- The unused part of a period after cancellation. Access continues to the end of the paid period and is not prorated
- Use of the account by another person, including someone you shared your login with
3. The three exceptions
We issue a refund only in the cases below, only where our records and those of our payment processor support the claim, and only up to the affected charge.
Duplicate charge
A billing error on our side charged you twice for the same period.
Proven unauthorized charge
Someone used your card without your permission, you tell us within 14 days of the charge, and the transaction and account records confirm it. A statement alone is not enough. We review the claim together with our payment processor and may ask you to confirm that you reported the card misuse to your card issuer.
Total failure of service
A confirmed fault on our side left the service completely unusable for a continuous period, you reported it to us while it was happening, and we could not fix it. Slow performance, a single feature not working, and problems with your own device, browser, network or files do not count.
A refund, where granted, is our full and only liability for the charge, is limited to the amount you paid for the affected period and goes back to the original payment method. One refund does not create a right to another.
4. How to request a refund
Email [email protected] within 14 days of the charge. Include the email address of your Gallerists account, the date and amount of the charge and which exception in section 3 applies, with any details that support it. Requests sent later than 14 days after the charge are not considered.
We review requests in the order we receive them and reply by email. We do not reopen requests that have been declined.
Filing a chargeback with your bank instead of following this process breaches our terms and results in permanent closure of the account.
5. Renewals, failed payments and cancellation
Your subscription renews automatically at the end of each monthly or yearly period until you cancel.
- You can cancel at any time in your account billing settings, without writing to us. Cancelling stops all future renewals right away
- After cancelling you keep access until the end of the period you already paid for. Cancelling is not a refund request
- When a new period begins, access for that whole period is granted and payment for it is due
- If a renewal payment fails, the payment is still due. Our payment processor retries the charge over the following days. A retry is not a second charge, it is an attempt to collect the same unpaid invoice
- Cancelling after a new period has started stops the renewals that follow but does not cancel the amount already due for the current period, and that charge is not refunded, even when it is collected a few days after the renewal date
- To avoid a renewal, cancel before the renewal date shown in your account
6. What you agree to and what we keep
When you create an account you accept our terms, this refund policy and our privacy policy. Before any payment the checkout shows the plan, the price, the billing period and the fact that the subscription renews automatically, and the confirmation email and your account repeat this information.
For each subscription we keep the date and time of purchase, the plan and price shown at checkout, your acceptance of these terms, the emails sent to you, renewal notices and a log of account activity such as sign ins, records created, PDFs generated and viewing rooms published, with the technical details recorded alongside. Our payment processor keeps its own record of each transaction, including the card's country of issue and the result of bank authentication. These records are what a refund claim is assessed against.
If you think a charge is wrong, write to [email protected] first.
