Who is responsible for your information
The gallerists.com service is operated by the administrator of the gallerists.com service ("we", "us"). For any question about this policy or your personal information, write to [email protected].
When a gallery uses Gallerists to store its own collector contacts, artist records and inventory, the gallery decides what that information is used for and we process it on the gallery's behalf. In that case the gallery is responsible for its own collectors and contacts, and requests about that information are best sent to the gallery. We assist galleries in answering them.
Information we collect
We collect only what we need to run the service.
- Account information: email address, password stored in hashed form, the role you choose, your gallery name and the confirmation of your email address
- Billing information: plan, billing period, invoices and payment status. Card details are entered directly with our payment processor and are never stored on our servers
- Content you add: artwork records, images, artist records, collector contacts, notes, offers, viewing rooms, consignments, invoices and exhibition information
- Demo uploads: the photo and details you enter in the homepage demo, kept for your browser session to show the result
- Usage and technical information: pages visited, actions in the account, IP address, browser type, device type and the referring page or campaign parameters
- Messages: emails you send to [email protected] and our replies
Information about collectors in the public guide
Collectors can read the guide without an account. When a collector sends an inquiry to a gallery through a profile, the message and contact details go to that gallery.
How we use information
- To create and secure your account and confirm your email address
- To provide the features of your plan, including inventory, offers, viewing rooms, CRM, consignments, invoices and guide listings
- To generate AI catalog descriptions when you ask for them
- To process payments, send invoices and manage renewals
- To answer support requests and send service messages about your account, billing and security
- To measure and improve the service, find errors and prevent abuse and fraud
- To comply with legal obligations and enforce our terms
We do not sell personal information and we do not share it for cross context behavioral advertising.
Who processes information for us
We rely on a small number of service providers, each bound by contract to use information only to provide their service to us.
- A hosting provider in the US, which stores the service and its data
- A payment processor, which handles card payments, subscriptions and fraud checks
- An email delivery provider, which sends confirmation codes, receipts and service messages
- An AI model provider, which processes the image and details you submit when you request an AI catalog description
We may also disclose information when required by law, to protect the rights and safety of users and the service, or as part of a transfer of the service to a successor that continues it under this policy.
How long we keep information
- Account and content data are kept while your account is active. After you close your account, we delete or anonymize it within 90 days, except where we must keep it longer
- Invoices and payment records are kept as long as tax and accounting law requires
- Demo uploads are discarded when your browser session ends
- Technical logs are kept for a limited period for security and troubleshooting, normally no longer than 12 months
You can export your inventory, artists and contacts as CSV at any time before closing your account.
How we protect information
We use encryption in transit, hashed passwords, access controls and role based permissions, and we limit staff access to what is needed to run the service. Enterprise accounts can add single sign on and audit log export. No system is perfectly secure, so please use a strong password and tell us at [email protected] if you suspect any unauthorized access.
Your privacy rights
Depending on where you live, including California and other US states with privacy laws, you may have the right to:
- Know what personal information we hold about you and receive a copy
- Correct inaccurate information
- Delete your personal information
- Opt out of the sale or sharing of personal information, although we do not sell or share it
- Not be treated differently for exercising these rights
To make a request, write to [email protected] from the email address linked to your account. We verify requests before acting on them and answer within the time the law allows. An authorized agent may make a request on your behalf with proof of authorization.

Gallerists is a business service and is not directed to children under 16. We do not knowingly collect personal information from children.
