One record per collector
Name, contact details, the artists and mediums they follow, price range, notes from conversations and their purchase history. Advisors and institutions can be recorded with the collectors they represent.
The collector CRM in Gallerists keeps the history of every relationship in one place: interests, notes, offers sent, viewing rooms opened, holds and purchases. It is connected to inventory, so the record of a collector is also the record of every work they saw and bought.
Galleries are built on relationships, and most of those relationships live in personal email threads and a sales associate's memory. Generic CRMs do not help much: they think in deals and pipelines, not in artists, editions and works on hold.
The risk shows up when someone leaves. Their collectors become strangers to the gallery overnight. Nobody knows who asked about the next show by an artist, who was promised first look at a new body of work, or who already received an offer last month.

Every offer PDF, every viewing room visit and every invoice lands on the collector's record without copying. Open a collector and see what they were offered, what they opened and what they bought, with dates and prices.
On the Gallery plan and above, inquiries from your public profile in the Gallerists guide arrive in a shared inbox and are linked to the collector record. Follow up tasks with due dates make sure a promise after an opening becomes a call two days later.
Filter collectors by the artists they follow, past purchases or interests, and send a new work to the people who are most likely to care about it.

Yes. Import contacts from a CSV file exported from your email program, spreadsheet or another database, then map the columns to collector fields.
Everyone you invite, according to their role. On Enterprise you can restrict access further with permissions per location and artist, which suits galleries with several sales desks.
No. Collectors receive your offers and viewing room links and can read the public guide, but they do not have accounts. Their records exist only inside your gallery's account.
Gallerists sends offers and viewing room links that you choose to send. It is not a newsletter tool, and it does not email your collectors on its own.
Start with a work and its first offer. The collector history builds itself from there.
